Selling an Individual Ticket (Auction Tracker)

Select Constituents

You can either search for someone who is already known to your organization -- already on your list of constituents -- or else add a new person.

To find an existing person:

  • You can search by first or last name by selecting the magnifying glass icon.
  • You can search by last name by
    • searching in the Find Constituent box
    • clicking in the list of names and typing the last name (e.g. I clicked and started typing "Smith" in this photo)

Once you've found them, click Select to open their record, or simply double-click on their name.

To add a new person

Select the plus sign icon to Add Constituent

Select New Individual

Enter the First Name and Last Name

Select Apply to save

If anyone is on your list with the same last name, Auction Tracker will show you a list of Potential Constituent Matches. If you see someone who is a match (i.e. who is the same person as the person you are entering), then choose Select. Otherwise, choose Close.

Select Apply to save

Once you have either opened an existing constituent's record or created a new constituent's record, select the Guest tab to open up their Guest record.

To make them a guest for this event, give them a reservation level. Optionally, you may enter their EntrĂ©e preference or assign them to the table where they will sit.

Select the drop-down Reservation Level and choose their ticket level. If they are a guest of someone else, you may choose Table Guest.

Select Apply to save these changes, or OK to save and close.

Notice that once you have given someone a reservation level and made them a guest, your count of Guests on the Event Dashboard at the left will increase by 1. It is updated about every minute.

If you need to add a reservation level, select Add Option and follow the instructions.

If they are a paying guest, select the coin stack icon and enter their payment.

Once you have entered the Payment Amount, press TAB to go to the Payment Method area. If you do not see your Payment Method listed (e.g. cash, check), select Add Option.
