Entering individuals and linking spouses (Auction Tracker)
To add a guest or Couple:
Click on the plus sign and select new individual.
1. Individual Tab
a. Biographical Details
b. Personal Address
c. Contact Information - you can change what shows on the left by clicking on the down arrow to the right of it, you can also add more by clicking on the plus sign or remove information by clicking on the minus sign.
d. Addressee - this is where you can add nicknames
e. Salutation
f. Development information - add Donor ID here, affiliation, or who referred
g. This Constituent -
h. Spouse/Partner Link Details. To link a couple, click the Link button, and enter the spouse's name, when you click apply it will ask you what Link Details you are to copy over. Click Ok.
2. The Employer Tab is where you can collect information about an individual’s employer. Employer information can be used in a number of ways; matching funds, potential donors, potential event sponsors and more. Enter the Business name, employee job title and employer address. If the individual prefers to use their work address for receiving mail, you would check the “Preferred Mailing Address” box. If you have this information, enter it and once you are done with this tab you can click apply to save. The rest of the tabs will be used later.
3. The Guest Tab is where you will complete guest reservation information and post payments for reservations.
4. The sponsor tab is where you will record sponsorship transactions.
5. The donor/solicitor tab will show donated goods or services and solicited items for your auction.
6. The volunteer/resource tab is where you can add any volunteer positions or other resources the individual might provide for your event.
7. The bids tab will show all successful bidding information on the night of the event. Since we had nothing new to save, we will click cancel to return to the main “Constituent Selection” box.
