Entering Reservations for Sponsors and Their Guests (Auction Tracker)

There are three ways to enter reservations for sponsors and their guests.

1) Listing tickets as one of the itemized Activities and Benefits of a sponsorship. In this approach, one payment covers everything, from sponsor advertising to ticket reservations.

a. choose the guests from the constituents in the database

b. lists all of your guests for this sponsor

c. Assign a table, entree, and anything else you may need to, click continue

2) An alternative way to give sponsors' table guests their tickets, while requiring only one payment from the sponsor, is to give sponsors who receive a table as part of their sponsorship a $0.00 RSVP level called "Sponsor Table" or "Sponsor Comp" and each guest "Table Guest".**See below on how to do this.


Option #2 Giving sponsors the "Sponsor Table" or "Sponsor Comp" RSVP level:

  1. Select the Constituents button and open up the sponsor's record
  2. Select their Sponsor tab and note their Sponsorship Level. In this case, it is "Supporting Sponsor". 
  3. Then go to their Guest tab select the Reservation Level drop-down and Add Option

It's reasonable to name the sponsor's RSVP level "sponsor table" or "sponsor comp" using the name of their sponsorship and add the word "Table". Give it a fair market value of $0 and an RSVP amount of $0, because those matters have hopefully been considered appropriately under the total umbrella of their Sponsorship Level and all that it includes.


4. Select Constituents and open a ticketed guest's record. Go to the Guest tab and in the  Additional Reservations section, select Purchase 

5. Scroll and select, or Find Constituent in the Constituent Name list, which includes people who have not yet been given a guest ticket.

6. Double-clicking on one of their names moves it to the Guest Name list. The appropriate RSVP Level is TABLE GUEST, which comes with an RSVP Amount of $0. This is appropriate in this case, since the sponsor has presumably already paid for their sponsorship level, which includes tickets.
